Office Manager

Tahoe Truckee Community Foundation (TTCF) is a local philanthropic and community-based organization in Truckee, California. Our mission is to bring together trusted partners to align strategies and inspire philanthropy to nurture a resilient community and environment. 

Our team seeks a highly-organized and friendly professional to serve as Office Manager. This core member of the Foundation’s operations team will provide day-to-day facilities and operations support to the TTCF board and staff, and community stakeholders. Our ideal candidate is detail-oriented and self-motivated and approaches relationship-building and communication courteously and professionally. 

Duties include:

  • Facilities Management 
  • Operations & Administrative Support 
  • Project & Event Management 

Qualifications:

  • A minimum of 3-5 years work experience and a high school level education is preferred, however all candidates with the right mix of life experience and hard skills will be considered.
  • Competency in computer programs, including Microsoft Office or GoogleSuite
  • Strong organizational and communication skills and customer-service orientation
  • Experience in or basic knowledge of the non-profit sector
  • Comfortable working in diverse settings and groups

This is a non-exempt full-time position of 40 hours a week with a requirement to work in-person, based in the Truckee office, and will report to the Chief Operating Officer. Hiring Salary range is $70,000-$75,000 based on experience, plus benefits. Bilingual candidates are encouraged to apply.

Office Manager

TTCF’s Office Manager will lend their exceptional organizational skills to ensure an accessible, professional, and welcoming office environment is maintained and the operating core of the Foundation functions efficiently. As a collaborative member of the Operations team, this individual provides a high level of responsiveness to a broad range of community stakeholders, executives, and internal staff collaborators to ensure deadlines are met and products are delivered professionally and on time.

Job responsibilities:

Facilities Management

Ensure TTCF provides a hospitable environment for staff and guests during business hours:

  • Serve as the first point of contact for office visitors, answer office telephone, and direct callers to the appropriate resource  
  • Responsible for the overall physical optimization of TTCF offices, including a clean and safe accessible environment that is compliant with laws

Serve as the point of contact for internal tech support to TTCF Staff:

  • Maintain inventory and provisioning of technology
  • Process renewals and team access to software and technologies
  • Work as a member of the Operations team to implement and manage cybersecurity and protocols to ensure the safety of TTCF’s data and privacy

Ensure the office is equipped with needed supplies and equipment:

  • Maintain the organization of supplies and printed materials 
  • Maintain the conference room and shared resources/office space and technology
  • Manage regular and routine services, deliveries, and vendors related to support business continuity (printer services, phones, janitorial, etc) 

Operations & Administrative Support

Responsible for the smooth operation of TTCF’s administrative functions, including:

  • Maintain and manage multiple calendars of the organization, including in-person and virtual calendar events and physical meeting space
  • Assist with daily finance functions, including processing mail, cash receipts, coding, and deposits 
  • Assist with data entry and updates in CRM records
  • Generate CRM-based reporting, including contact lists, campaigns, and donor reporting
  • Adhere to record retention policies and procedures for digital and hard-copy materials
  • Support project management efforts related to the physical improvement or build-out of physical office space and office relocation

 

Projects & Event Management

  • Support and project manage Foundation meetings, events, workshops, and donor activities, including:
    • Planning, logistics, and set-up and breakdown
    • Virtual supports
    • Registration management (internal and external)
    • Follow-up actions and communications as needed
  • Provide support for Board and Committee meetings, including:
    • Conference Room Calendar management
    • Serving as tech support for in-person and hybrid meetings
    • Preparation of meeting materials and supplies, including provisions and refreshments
  • Manage booking and scheduling of Staff & Community Partner reservations for shared office space and physical and technology assets.
