Engagement and Communications Manager

Job Posting: Engagement and Communications Manager

Tahoe Truckee Community Foundation is a local philanthropic and community-based organization in Truckee, California. TTCF brings trusted partners to align strategies and inspire philanthropy to nurture a resilient community and environment.

Our team seeks a highly motivated communications professional with strong organizational and analytical skills to serve as Engagement and Communications Manager. The manager will be a key collaborative member of the Foundation’s Engagement and Communications Team and reports to the Director of Engagement and Communications. Our ideal candidate demonstrates strong initiative with the ability to manage up to push projects forward. They can stay organized across multiple priorities, possess excellent communication skills, maintain confidentiality when working with sensitive donor information, and can work independently and with teams at all levels. The candidate enjoys the creative process and is a skilled writer with an eye for graphic design. 

 

Duties include:

  • Support TTCF’s Resource Development Campaigns and Campaign Leads to meet their goals, including tracking and reporting on metrics.
  • Coordinate and develop stakeholder communications, including social media content, press releases, professional slide decks, donor communications, and more.
  • Support the planning of event logistics including coordinating venues, vendors, guest lists, speakers, RSVPs, and follow up.
  • Provide a high-level donor support service and open communication with the resource development team.
  • Perform research and data analysis on donors and prospects, providing actionable insights and reports to the resource development team.
  • Provide administrative support, programmatic engagement, and other duties as assigned. 

 

Experience: A minimum of 3-5 years of work experience and a Bachelor’s level education in a relevant field or industry, or equivalent experience. This role focuses on excellent customer service, a broad mix of communication talents, and organizational skills. Creatives and innovative problem solvers with the right mix of life experience and hard skills are encouraged to apply. Experience with website management and Canva is a plus.

This is a non-exempt full time position of 40 hours a week with a requirement to work in-person, based in the Truckee office and will report to the Director of Engagement & Communications. Salary range is $70,000- $75,000 based on experience, plus benefits. Bilingual candidates are encouraged to apply.

Job Description:

 

Engagement and Communications Manager – Full Time – 40 hrs per week

The goal of TTCF’s Engagement team is to cultivate meaningful and authentic relationships between stakeholders and the Foundation. We do this by identifying mission alignment, creating and collaborating on engaging experiences, and developing systems to track and adapt our strategies. Our communications strategy is a natural extension of our engagement strategy and the two are developed and executed in tandem. This position will directly support the Director of Engagement and Communications and CEO to ensure the highest level of support for all engagement and fundraising efforts.While rooted and accountable to an annual strategy, the Engagement team is highly entrepreneurial, innovative, and willing to take risks and learn quickly. 

 

Area of Focus 40 Hours Weekly
Communications: 50% 20 hours
Engagement Services: 20% Up to 8 hours
Data Analysis & Reporting 20% Up to 8 hours
Admin Support/Program Engagement 10% Up to 4 hours

Communications

Support the Director to execute on the communications strategy

  • Develop and distribute stakeholder communications, including social media posts, email blasts, phone calls, etc.
  • Present a monthly social media schedule that aligns to current strategic goals and tells timely and provocative stories about TTCF’s programs and initiatives while remaining nimble to emerging needs 

Storytelling/Messaging

  • Work closely with staff to identify, frame, and develop multi-media stories
  • Interview key community stakeholders to capture stories, quotes, and assets
  • Pitch, frame, and write stories for publication across multiple channels, including TTCF’s blog, press releases, op-eds, quarterly impact reports, annual reports, etc.

Creative Asset Development

  • Develop creative assets for review and distribution following existing templates
  • Create collateral and assets for external communications, including holiday cards, annual reports, websites, print and digital ads, and more
  • Provide quality assurance/review of branding and style guidelines for all collateral 

Social Media Management

  • Post social media content following the monthly social media strategy 
  • Monitor Foundation’s social media profiles and posts and engage with audiences
  • Build on the established voice of the Foundation, cultivating a friendly and informative relationship with stakeholder groups

Website Support

  • Keep up-to-date website calendar and refresh content on pages for program team
  • Publish blogs, articles, etc.

Engagement Services

Provide data insights, manage events and services, and support donor services to support the Director in executing the engagement strategy. 

Resource Development

  • Perform Prospect Research & Qualification to help create and track a robust database of viable private foundation, corporations, and individual donors and grantmakers to support TTCF’s Resource Development Plan.
  • Track weekly donations and ensure donors promptly receive thank you notes
  • Project manage collaborative grant applications, reporting requirements, deadlines
    • Support teams in setting and meeting deadlines, gathering required documents, and synthesizing information

Serve as Tahoe50 Giving Club Staff Manager

  • Coordinate logistics and communications for Tahoe50, including pass design, pass distributions, gift packages, waivers, commitments, etc.
  • Serve as point of contact with pass holders and resort partners to ensure seamless programmatic delivery and customer service
  • Maintain a high level of communication with the Director and CEO about pass holder updates, challenges, and ways to improve

Event Support

  • Create invitation lists and maintain RSVPs for donor events
  • Serve as the primary point of contact for all vendors, venue staff, and partners
  • Support the development of timelines, runs of show, and agendas
  • Ensure event needs are prepared within the week before the event 
  • Help onsite when needed
  • Leverage tech tools to track pipeline results for engagement and campaign activities

Donor Services

  • Add capacity to Donor Services through collaboration with the Director of Foundation Services and assist fundraising team with fund documentation and pulling accurate and up-to-date reports
    • Fund Agreement documentation and tracking 
    • Donor Portal setup and maintenance
    • Donor communications/acknowledgments

Data Analysis & Reporting

Ensures real-time and accurate data is available to inform engagement decision-making

  • Providing ongoing record updates in CRM 
  • Serve as team lead on donor communications; record entries and updates in CRM
  • Create dashboards and other visual representations of fundraising efforts
  • Maintain and refresh documentation of criteria for Core Development reports
  • Deliver standard development reports on agreed-upon schedule and ad-hoc reports
  • Leverage Csuite and other technology tools, .e.g. Streak, Google Analytics, Facebook Analytics, etc., to track pipeline results for engagement and activities
  • Develop weekly reports and team actions to meet development goals

Admin Support/Program Engagement

  • Support development-associated meetings by sending calendar reminders, agendas, meeting minutes, and follow-up communication
  • Provide in-office support to ensure excellent customer service and engagement
  • Project lead the development of the Quarterly Impact Report with team and vendors
  • Manage asset libraries and assist team members, media, and partners to access on-brand, high-quality, and appropriate brand materials, photographs, assets, etc.
  • When available, support broader TTCF activities by representing the mission in outside meetings, assisting with communications, and meeting prep

Calendars, Emails, Documents, and File Management

  • Keep clear, concise and discoverable administrative structure that demonstrates professionalism and supports team collaboration and engagement
  • Keep up-to-date and clear Google Calendar to communicate activities and projects
  • Train-on and maintain clear project and file structure standards and align them with the broader team needs, document retention policies, and contract management
  • When available, support broader TTCF activities by representing the mission in outside meetings, assisting with communications, and meeting prep
